Program Administrator

Job Description

Job Summary:
This role will oversee carrying out operational and administrative tasks that contribute to the successful execution of Island Harvest’s Workforce Skills Development Institute programs and events.

Primary Duties & Responsibilities:

• Coordinate program delivery, including attendance tracking, instructor contracts, field trip waivers, program evaluations, and learning space setup.
• Support student recruitment and admissions by coordinating outreach events, managing prospective student inquiries, tracking applicant status, administering assessments, preparing admission notifications, and processing enrollment documentation.
• Coordinate graduation and recognition events, including event logistics, communications, student recognition materials, volunteer coordination, and on-site event support.
• Maintain program documentation, manuals, contact lists, filing systems, and office supplies while coordinating vendor payments and administrative records.
• Oversee front desk operations and daily site procedures, including communications, session readiness, and compliance with safety requirements.
• Serve as an integral part of the workforce team in establishing student rapport, building trust, and evoking motivation and confidence to complete programs and certifications.

Job Qualifications:
• Bachelor’s degree in communications, business administration, or a related field.
• Minimum of two (2) years of relevant professional experience.
• Proficiency in Microsoft Office and other computer applications.
• Knowledge of data analysis and database management systems.
• Knowledge of the Long Island workforce landscape and experience working with underserved communities is a plus.
• A valid driver’s license and reliable vehicle is required.

Physical Requirements & Work Conditions
This position requires availability Monday through Friday, 8:00 a.m. to 4:00 p.m with occasional variations in hours. The role is primarily based in an office environment, with occasional work in a warehouse setting. Work is performed across two adjacent locations (126 and 130 Spagnoli Road), and occasional travel throughout the region is required. Mileage will be reimbursed.

Hourly rate: $25.00/hr
